The context
d'ici sells products from local producers in three shops. Every new producer and every new item has to be onboarded before it reaches the shelves: company details, logistics, item sheets, documents, prices.
The problem
Onboarding ran on emails and Excel files, between producers, sourcers, the onboarding team, admin and communication, before being keyed into BIV, d'ici's ERP. Information got lost between versions, and nobody could see at a glance which files were complete.
The solution
With AI agents, I built a platform that brings everyone into one place:
- A producer portal, opened with a magic link, in French and Dutch: each producer completes their company record, logistics, items and documents.
- Approval by sourcers: they accept or reject submitted items and price changes.
- A dashboard showing file completeness and alerts, with Excel and PDF export.
- An onboarding queue that produces the Excel file BIV expects, and imports the ERP's response back.
The internal team signs in with their Microsoft accounts.
The result
The platform has been in production since 2026. The onboarding emails and spreadsheets have been replaced by a single tool shared by producers and the d'ici team.
